At
the core of EMS is rotations management. Every education coordinator
spends a large amount of time scheduling and changing rotations.
EMS has taken the majority of the work required to assign and
maintain rotations and shifted it to the students and EMS. The
education coordinator will enter the types of rotations available
and which preceptors will accept students. Then the students
logon to EMS to research preceptors and enter their rotation
preferences. After the preferences are entered, the education
coordinator clicks a button and the rotations are scheduled.
Rotation
Assignment
Rotations are assigned using a lottery system. We call
the EMS rotation assignment function the "spin." The process
begins with EMS creating random lottery numbers for each
rotation. Then the rotations are assigned in lottery number
order. This keeps the process fair for all students.

Every
school has special cases where they need to bypass the
lottery system for some rotations. This is easily done
with EMS. The education coordinator can create rotation
assignments before running the spin. EMS will not assign
rotations that have been pre-assigned before the spin.
Spin
Rules
We have found that each school wants their rotations assigned
a little differently. EMS handles this situation by implementing
the spin rules. These rules allow you to customize the
spin process to fit your needs. An example of a spin rule
is to use preferred preceptors. A preferred preceptor
is assigned rotations before non-preferred preceptors.
This is just one of many options available for the spin
rules.
Changing
Rotation Assignments
There will always be cases when you will have to change
a rotation. EMS has made this process quick and painless.
Once the education coordinator looks up the rotation,
a list of preceptors who will take students for this rotation
is available with a single click. Once you have selected
a new preceptor from the available list, just click the
update button and the rotation has been reassigned. This
change is available immediately to the student and preceptor
on the internet.
Student's
Preferences
EMS gives the students an opportunity to enter their preferences
for each rotation. Students can select up to three different
preceptors and two area locations per rotation. The spin
function will search for their top preceptor choice first.
If this preceptor is not available, then it will check
for their second preceptor and so on. If none of the three
preceptors is available, then EMS will look for a preceptor
in the student's area location then second area location. |
